Day 1: Confirm the ownership and association contacts


Verify the legal owner names, unit and parking designations, management company, association contacts and the best source for questionnaires and lender requests. Record normal response times and any document fees.

Gather the current budget, reserve information, master insurance evidence, recent board and member minutes, rules, assessment notices, inspection or engineering reports and any available repair updates. Date every item so older documents are easy to identify.

Ask what inspections have been completed, whether any mandatory report failed, what repairs are open, what the work affects and when completion is expected. For every assessment, document its purpose, approval status, unit amount, payment schedule and connection—if any—to critical repairs.
